Director of Administration and Programs (Full Time)

Position Type: Full Time (35+ hours/week),Exempt
Reports to: Executive Director

Salary Range: $45,000.00-$55,000.00 annually, based on experience

Position Overview:
The Boone County Community Foundation is seeking a highly organized, creative, and self-motivated individual to join our team as a full-time Director of Administration and Programs. This position supports the daily operations of the Foundation, assists with donor and community engagement, manages marketing and communication efforts, oversees scholarships and grants, and provides administrative and program support to the Executive Director.

The ideal candidate thrives in a mission-driven environment, enjoys managing multiple tasks, and has experience in administrative work, communications, event coordination, and basic design/marketing. A passion for community service and nonprofit work is strongly valued.

Key Responsibilities:

Administrative Support:

  • Answer and route phone calls, emails, and general correspondence
  • Maintain organized digital and physical files, including donor and grant records
  • Prepare reports, board/committee agendas, minutes, and support materials
  • Process mail and maintain office supply inventory
  • Support direct mail projects and maintain updated mailing lists

Program Coordination & Management:

  • Oversee and run the community grants and scholarship programs and portals
  • Provide support for grant applications and recipient communications
  • Collaborate with school districts, donors, students, organizations and community partners to host events and presentations
  • Promote scholarship and grant programs

Marketing & Communications:

  • Design and create marketing materials such as flyers, brochures, newsletters, and social media graphics
  • Manage the Foundation’s social media accounts and website updates
  • Develop and distribute email campaigns and press releases
  • Create and disseminate invitations for Foundation events
  • Prepare media releases and seek earned media opportunities
  • Ensure brand consistency across all communications and materials

 Donor & Community Engagement:

  • Assist with donor correspondence, including thank-you letters, newsletters, and event invitations
  • Maintain accurate donor records and assist with database management
  • Assist in managing fundraising campaigns and community outreach efforts
  • Assist in planning and coordinating Foundation programs, events, meetings, and activities
  • Coordinate logistics for fundraising and community engagement initiatives
  • Attend and photograph events as needed

Other Administrative Tasks:

  • Assist with the daily record-keeping of donors, grants, and scholarships
  • Work closely with the Executive Director to provide administrative support for all Foundation activities
  • Assist with implementation, maintenance, and/or selection of systems and equipment
  • Assist with other duties as assigned

Qualifications & Skills:

  • Associate or bachelor’s degree preferred
  • Previous administrative, marketing, or office support experience preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Familiarity with social media management and email marketing platforms
  • Experience with design software such as Canva, Adobe Creative Suite, or design tools
  • Experience with website management and graphic design a plus
  • Strong organizational, time-management, and multitasking skills
  • Excellent written and verbal communication skills
  • Ability to work independently and collaboratively in a small office environment
  • Ability to learn new technologies quickly
  • Availability to work occasional evenings and weekends for events
  • Passion for community service and nonprofit work

Compensation:

  • Competitive salary of $45,000.00-$55,000.00, based on qualifications and experience
